Your ManagePro Guide

ManagePro is where your property community handles day-to-day life — move-ins, visitor passes, maintenance, bills, and building announcements — in one place instead of scattered emails and paper forms. This guide walks through what you can do, and how information moves between the people who use it.

Getting Started

How everything fits together

Your property runs on one shared workspace. Whatever you submit — a maintenance request, a visitor pass, a move-out notice — goes to the right staff member automatically, and you can track its status without calling the office.

You submit a request → Staff is notified → Staff acts & updates status → You get notified

Your account & roles

Everyone in your workspace has a role — resident/tenant, staff member, or manager/administrator — and what you can see and do is shaped by that role. You'll only ever see information relevant to your own unit or your assigned responsibilities.

  • Residents see their own household's requests, passes, and bills.
  • Staff see the requests assigned to them, plus whatever their role covers (e.g. security guards see gate passes, not billing).
  • Managers and administrators can see across the whole property and manage who has access to what.

Day to Day

Move In / Move Out residents

Planning to move in or out? Submit a move request instead of coordinating by phone. Staff schedule an inspection, walk through a checklist, and attach photos — so both sides have a record of the unit's condition.

Residents submitStaff inspects & approves
What you can do
  • Request a move-in or move-out date.
  • See the inspection checklist and photos once staff completes it.
  • Comment directly on the request to ask questions or flag issues.

Visitor & Vehicle Passes residents

Issue a QR-coded pass for a guest, delivery, or vehicle. Security scans the code at the gate to verify it instantly — no calling up to the unit to confirm.

What you can do
  • Create a pass for an expected visitor ahead of time, from My Passes.
  • Share the QR code with your guest, or let the gate look it up by name.
  • Permits and long-term vehicle stickers work the same way, just with a longer validity window.

Maintenance Requests residents

Report a leak, a broken fixture, or anything that needs fixing. It's routed to the right staff member, and you can follow the conversation and status right on the request.

What you can do
  • Submit a request with photos, from My Service Requests.
  • See who it's assigned to and its current status.
  • Reply on the thread instead of re-explaining the issue over email.

Other Requests & Forms residents

Your property may configure additional request types beyond move requests, passes, and maintenance — anything from a renovation request to a pet registration. These appear under My Requests and work the same way: fill in the form, track its status, get notified when it changes.

Calendar residentsstaff

A shared calendar for building events, maintenance windows, and reminders — scoped so you only see what's relevant to you.

Memos & Announcements residentsstaff

Building-wide notices from management — anything from a scheduled water interruption to a community event. Memos track whether you've read them; announcements are quicker, lighter-weight bulletins.

Messages residentsstaff

Direct messaging with property staff and, for staff, team channels — so routine questions don't need a phone call or an email thread.

Staying Informed

Utilities & Bills residents

See your unit's meter readings and how your utility charges are calculated. Staff records readings on a regular schedule, and rates are set at the property level so charges are consistent and auditable.

Emergency Info residentsstaff

Emergency contact directory, fire/response team duty schedules, and disaster alerts — so critical information is available even when you need it in a hurry.

Notifications residentsstaff

You'll get notified in-app, by push notification, or by email — your choice — whenever something you care about changes: a request is updated, a memo is posted, a pass is scanned. Notification preferences are yours to tune in Settings.

Compliance Records staff

Tracks permits, certifications, and regulatory deadlines the property needs to stay on top of — visible primarily to staff and management.

For Property Staff

Properties & Households staff

The master record of every unit and every household living in it. This is what every request, pass, and bill ultimately links back to.

Reports & Bulk Import staff

Export activity across any module for reporting, and bring in existing resident/unit records in bulk when onboarding a property instead of entering them one by one.

Team Members & Roles staff

Invite staff, assign built-in roles (like security or maintenance), or design custom roles with exactly the access a position needs — nothing more.

Workspace Settings staff

Branding, security policy, which modules are turned on for your property, and how tenant profile information is structured — the configuration that shapes everyone else's experience.
